Terms and Conditions of Petra Travel s.r.o.
1. Introduction
1.1 These Terms and Conditions govern the contractual relationship between Petra Travel s.r.o., Company ID: 28991184, with its registered office at Roztoky 23, 27023, registered in the Commercial Register [insert details] (hereinafter referred to as the “Agency”) and the customer (hereinafter referred to as the “Client”) ordering services provided by the Agency.
1.2 The Agency is duly insured against insolvency in accordance with Czech Act No. 159/1999 Coll.
1.3 The contractual relationship is established upon signing a travel contract or written confirmation of an order (including via email).
2. Subject of the Contract
2.1 The Agency agrees to provide travel-related services (e.g. accommodation, transport, guiding services, programs, etc.) as defined in the agreement.
2.2 The Client agrees to pay the agreed price by the stated deadline.
3. Price and Payment Terms
3.1 The total price is always specified in the contract or offer.
3.2 The Client is obliged to pay a deposit (usually 30–50% of the total amount), as instructed by the Agency.
3.3 The remaining balance must be paid no later than 30 days prior to the trip, unless otherwise agreed.
3.4 Payments are made via bank transfer or another agreed method.
4. Trip Cancellation by the Client
4.1 The Client may cancel the trip at any time before departure. Cancellation must be submitted in writing.
4.2 In case of cancellation, the Agency charges cancellation fees as follows:

More than 60 days before departure: 10% of the total price

59–30 days: 30%

29–15 days: 50%

14–7 days: 70%

Less than 6 days: 100%
4.3 In exceptional cases (e.g. serious illness), cancellation fees may be reviewed individually.
4.4 The Client may send a substitute participant if the nature of the services allows it.
5. Changes and Cancellations by the Agency
5.1 The Agency reserves the right to modify the program or services in the event of unforeseen circumstances (e.g. weather conditions, force majeure, limited access).
5.2 If the trip is canceled by the Agency, the Client will be refunded the full amount paid.
5.3 The Agency is not liable for delays caused by transport providers or force majeure.
6. Complaints
6.1 The Client has the right to report service defects without undue delay.
6.2 Complaints must be submitted in writing to the guide, Agency representative, or via email.
6.3 The Agency will process the complaint within 30 days of receipt.
7. Insurance
7.1 The Agency is insured against insolvency in accordance with Czech Act No. 159/1999 Coll.
7.2 Travel insurance for participants is not included in the price unless explicitly stated. We strongly recommend that participants arrange their own insurance before travel.
8. Personal Data Protection
8.1 The Agency processes personal data in compliance with the GDPR and Czech Act No. 110/2019 Coll.
8.2 Data is used solely for the purpose of providing the agreed services and is not shared with third parties without consent.
8.3 The Client has the right to access, correct, or request deletion of their data.
9. Final Provisions
9.1 These Terms and Conditions are valid as of [insert effective date] and are available on the Agency’s website.
9.2 Legal relations are governed by the laws of the Czech Republic.
9.3 Any disputes will be resolved amicably; otherwise, by the competent court in the Czech Republic.
